‍

As the end of the year will be here before we know it, it’s time to start finalizing your year-end giving communications!

By now your team has been working hard on your year-end giving campaign, including finding numbers for your year-end giving report, gathering testimonials, creating graphics to share out, videos to share on Sunday mornings, and more. It’s a big and important endeavor!

Now it’s time to put it all together for your communications. Emails need to be sent, texts shared out, social graphics posted, and more. But if you’re pressed for time, these are just even more things to add to your hefty to-do list.

At Subsplash, we’ve created ready-to-use year-end email giving templates for this exact moment. Written by our professional content writers trained in nonprofit fundraising, these year-end giving templates for emails and social posts will help you easily get started today with professionally-sounding communications that include proven and effective language for fundraising.

These templates are ready to be customized with your church’s information. Use them as a foundation, and add the personal details that make your communications feel authentic to your congregation.

Pro tips to consider as you write your year-end email communications

Below is an effective list of customizable year-end giving templates to help you get started. Each of these email templates is written to a generic audience (such as  your entire congregation), but can be customized to smaller groups, such as your top donors or a certain demographic.

Taking the time to customize each template and segment them for your donor groups will make each communication feel appropriate, relevant, and respectful. Here are a few other important pro tips to consider as you write your year-end email campaign:

  • Make it personal & authentic: Customize the language in each email communication with important details about your church, your ministry, and fundraiser. You can even add personal details of the recipient, such as their name, thanking them for a gift they’ve previously given, or for the many ways their generosity has been a direct answer to prayer for your church. Keep each one in line with your church’s tone, brand, verbage, etc.
  • Add bold & color fonts with intentionality: Some people prefer skimming emails rather than reading the whole thing. Play around with sparingly adding bold and color fonts for emphasis (avoiding red) and adding italics to get the right look and feel for each email.
  • Be selective about your “From” form: Not every email should be “From” the pastor/s. In fact, only a few should! Make sure your emails are from your church’s name]. For example, you don’t want your year-end emails to be from your admin staff, as not many people may even know them by name. Use one person’s name as the sender sparingly. This way, when you do write a “Letter from the Pastor” (see Email #9), you’re guaranteed to see improved open rates.
  • Use compelling subject lines: If your email is phenomenal but your subject line is dull, sadly your email was a waste of time because no one opened it! Use compelling subject lines that will motivate your members to open each email. Keep them short and centered on the recipient, such as a special benefit for them like “You made a difference in 2026”. Consider adding emojis as well for extra attention-grabbing details.
  • Add media, like graphics, videos & testimonies: Pictures, graphics, and videos bring your emails to life. Make sure your email feels personal, authentic, heartwarming, and genuinely coming from your church with relevant images, videos, and graphics.
  • The shorter, the better: While longer emails are great, they’re not always read from start to finish. If you’re in doubt about the length, cut a few paragraphs and make it shorter. Keep each email as succinct as possible without cutting the meaningful connections. Or, if you have to write a longer email, highlight the most important parts in bold for those who choose to skim.
  • Include a goal and/or deadline: Congregants may be more compelled to give by a concrete goal and deadline. Consider sharing an exact dollar amount that will help set your church up for success for the new year or raise money for a specific cause. Also, you may consider inserting a countdown timer that counts down to New Year’s on a few of your final emails for added urgency.

Alternative giving options: Communications for high networth donors

The emails below touch on multiple giving solutions, including DAFs, stocks, mutual funds, cryptocurrency, and more. Today, nearly 90% of U.S. wealth isn’t sitting in cash—it’s tied up in stocks, crypto, and other assets. Yet many churches still focus primarily on cash donations! More churches are understanding the benefits of offering alternative giving options today as older generations utilize these sources for greater generosity.

To help you navigate these types of alternative giving tools that are so essential, check out our webinar, Advanced End-of-Year Giving Options for Churches, which covers all of these topics and more. We also offer a free ebook, “The End-of-Year Giving Playbook”, as a great resource on this subject.

The ten emails below will serve as a great foundation to help you get started, setting your congregation up for success as well as your church to receive tithes and offerings in multiple ways. We hope this resource blesses your church!

Email #5: Invitation to Give Through a Donor-Advised Fund (DAF)

Target List: Top existing donors and potential high net-worth donors

From: [Church Name]

Subject Line: DAF: A Smart Way to Support [Church Name] This Year

Dear [First Name],

I hope this note finds you well. As you review your year-end plans, I wanted to share an option that many in our church family have found both meaningful and tax-efficient—giving through a Donor-Advised Fund (DAF).

A DAF allows you to make a charitable gift now, receive an immediate tax deduction, and recommend grants to [Church Name] and other ministries over time. It’s a great way to manage your generosity, especially if you’ve had a higher-income year or want to plan ahead for multiple years of giving.

If you already have a DAF, you can easily recommend a grant to [Church Name, Tax ID, or giving link if applicable]. If not, I’d be happy to share more about how DAFs work and how they can help you give in a way that’s both strategic and consistent.

Your generosity fuels every part of our ministry—from [specific ministry example] to [specific impact example]. Thank you for being part of what God is doing through [Church Name].

Email #6: Suggesting the “Bunching” Strategy for Generous Donors

Target List: Top existing donors and potential high net-worth donors

From: [Church Name]

Subject Line: A Giving Strategy to Multiply Your Impact

Dear [First Name],

As you look toward year-end giving, I wanted to share a way to help you maximize both your generosity and your tax benefits—it’s called the “bunching strategy.”

Here’s how it works: in a high-income year, you can make a larger-than-usual gift—for example, to a Donor-Advised Fund—and itemize your deductions for that year. Then, you can use the DAF to spread out the donations to [Church Name] over time, providing steady support for ministry in the years ahead while continuing to take the standard deduction.

Many families find this approach helps them give more intentionally, with lasting impact and greater financial efficiency. If this sounds like something you’d like to explore, I’d be happy to connect you with resources or talk through how your gift could make a difference in [specific ministry area].

Thank you for your faithfulness and vision for what God is doing through [Church Name]. Your generosity is helping change lives every day.

Email #7: The Stock/Crypto Giving Option (Early December)

Target List: Top existing donors and potential high net-worth donors

From: [Church Name]

Subject Line: Tax-Smart Generosity: Give Appreciated Assets Before the December Deadline

Dear [First Name],

As we approach the close of 2026, we want to ensure you are aware of the most tax-efficient ways to support [Church Name]’s vital mission in the year ahead.

For donors holding assets that have appreciated in value—such as publicly traded stock, mutual funds, or cryptocurrency held for more than one year—a direct donation of the asset provides a powerful dual benefit:

  1. Avoid Capital Gains Tax: You may eliminate the capital gains tax you would owe if you sold the assets yourself.
  2. Receive a Tax Deduction: You may claim an income tax deduction for the fair market value of the asset, further increasing your tax savings (subject to IRS limits for non-cash gifts).

This strategy allows you to make a more significant gift to God’s Kingdom than you might through a cash donation alone, while ensuring maximum efficiency for your portfolio.

To facilitate your year-end planning and ensure your gift is processed before the end of the tax year, please visit our dedicated giving page on our website or mobile app for simple, step-by-step instructions:

Email #8: The Year-End Strategy Deadline Reminder (Mid-December)

Target List: Top existing donors and potential high net-worth donors

From: [Church Name]
Subject Line: Time-Sensitive: Unlock Greater Tax Savings with an Appreciated Asset Gift

Dear [First Name],

If you are planning to utilize the tax benefits of donating appreciated stock, mutual funds, or cryptocurrency this year, time is now critical.

Because these types of gifts require processing time from brokerage and financial institutions, the practical deadline for initiating the transfer is typically Mid-December ([Insert Specific Date, e.g., December 15th]) to ensure your gift is received by [Church Name] before the December 31st tax cutoff.

Why the Urgency? A direct transfer of these long-term appreciated assets is often the single most strategic gift you can make, as it converts a potential tax liability (capital gains) into a ministry blessing. Delaying even a few days can mean the transaction is not completed by the year-end deadline, forfeiting the 2026 tax benefits.

We are here to help make this process simple and secure.

You can find all the necessary account details and instructions on how to initiate a transfer on our website or through the [Church Name] app:

[BUTTON: Access Stock & Crypto Giving Instructions]

If you have already initiated a transfer, thank you. If you have questions, please reach out directly to our finance team at [Finance Email Address].

We pray your generosity is blessed as we prepare to step into 2027 with a strong foundation for the Gospel.
